What you can import
Section titled “What you can import”- Customers
- Leads (Standard and Enterprise plans only)
- Parts
- Employees
- Device type, Device brand and Device model
Tip: import device types first, then brands, then models. Each brand belongs to a device type, and each model to a brand.
Before you start
Section titled “Before you start”- Your file must be an Excel file (.xlsx or .xls) or a .csv file, up to 10 MB. The upload screen shows the most rows you can import at once for each type.
- Don’t see a type? Ask your shop owner to let you import it (Data Import).
- Parts are added to the business picked in the switcher at the top. Pick the right business first.
- Use a computer if you can. It’s easier to check a big file on a large screen.
-
Go to Settings › App & account › Imports. On a phone, tap More › System › Settings, then App & account › Imports.
The Import data page opens.
-
Select import type: click what you want to import, for example Customers.
-
Upload file: click Download sample file to get a file with the right columns. Fill it in, or check your own file has the same columns.
Then drag your file onto the page, or click Browse files.
Desktop -
Map fields: for each column in your file, pick the matching BytePhase field. Pick Skip this column for columns you don’t need.
Every required field must be matched before you can go on. For customers and leads, match an email column, a mobile number column, or both. Until you do, Email/mobile number shows as a missing field.
-
Select defaults: choose a value for rows where your file leaves a choice empty. For example, a default Source for customers or a default role for employees. Some types don’t need this step.
-
Preview & validate: check the first rows look right. Then click Import all and the number of rows.
Don’t close the window while the import runs.
-
Complete: look at the summary. It shows how many rows were Imported and how many failed.
If some rows failed
Section titled “If some rows failed”- Click Download error report. It lists each failed row and why.
- Fix those rows in your file, and delete the rows that worked.
- Click Start new import and upload the fixed file.
Good to know
Section titled “Good to know”- Required fields must have a value in every row.
- A row that matches a record you already have is rejected, not updated. For example, a customer with the same email or mobile number, or a part with the same name.
- Imported employees get a login. Check you have enough staff logins on your plan first. See Plans and limits.
