One invoice number series, and invoices made for you after payment

Two switches that change how bills are numbered and made. Use one number series for sales and repairs, and create the repair invoice when a payment comes in.

invoice number, one invoice series, same number for sales and repairs, unified invoice, invoice series, auto invoice, automatic invoice, invoice after payment, create invoice automatically, sale number, job invoice number, bill number, numbering, shared numbers
Works on computer and phone

Two switches in General settings decide how your bills are numbered and made. One puts sales and repair invoices on a single number series. The other makes the repair invoice for you as soon as a payment comes in.

Both switches are shared by all your businesses. Each business still counts its own numbers.

  1. Go to Settings › App & account › General settings. On a phone, tap More › System › Settings first.
  2. Click Edit, change the switch, then click Save.

Hold the pointer on the i next to a switch to read what it does.

On a phone, the gear button at the top of the Sales list opens the sales settings panel. It shows the same two switches.

Switch on screen What it does Starts as
Use one invoice number for sales & repairs A sale takes its number from the job invoice series, so sales and repair invoices count up together: IN-1, IN-2, IN-3. When it’s off, sales have their own series. On outside India. Off in India.
Create invoice automatically after payment When you record a payment on a repair job that has no invoice yet, BytePhase makes the invoice for you. It copies the job’s services, parts and discount. On outside India. Off in India.

Use one invoice number for sales & repairs

Section titled “Use one invoice number for sales & repairs”
  • When it’s on: a new sale gets the next job invoice number. Your sale number series isn’t used, and its Edit button in Sequence settings is greyed out.
  • When it’s off: sales count with the sale series (for example SL26-1, SL26-2) and repair invoices count with the job invoice series (for example IN26-1, IN26-2).
  • It only changes new documents. Old sales keep their numbers.

Create invoice automatically after payment

Section titled “Create invoice automatically after payment”
  • It works for repair jobs, not for sales. A sale is already its own bill.
  • It only makes an invoice if the job doesn’t have one yet. If you made the invoice by hand before the payment, nothing new is created.
  • The new invoice takes the next job invoice number, and uses your job invoice Terms & conditions and your rounding setting.
  • Turn it off if you prefer to check the bill before you make the invoice.
  • Each business has its own numbers. With two businesses, each one has its own job invoice series. The switch is shared, but the counting isn’t. See Document numbers.
  • India. Both switches start off, so sales and repair invoices have separate series and you make each invoice yourself.
  • To change a series’ prefix or next number, see Document numbers.
