Before you start
Section titled “Before you start”- Only someone with Business Settings — Manage businesses can add or change businesses. By default that’s an Admin.
- Have the new business’s name, address, and tax or GST number ready, if it has one.
- Decide the business’s Short code. It goes into every document number, for example invoice numbers. It can’t be changed later.
Add a business
Section titled “Add a business”-
Go to Settings › Business settings. On a phone: More › System › Business settings.
-
Click Create business.
Below the list you see how many businesses you’re using, for example “1 of 2 used”. When they’re all used, Create business is greyed out.
Desktop -
Choose Start from scratch, or Duplicate an existing business and pick it in Business to duplicate. Click Continue.
-
Fill in each step: Basic information, Tax details, Address & contact, Logo & signature, Bank & UPI (outside India: Bank account), Sequence numbers and Terms & print format.
-
On Review, check everything. The short code can’t be changed later. In India, neither can the GST registration. Then click Create business.
The new business opens. It now appears in the business switcher.
What a copy brings across
Section titled “What a copy brings across”When you duplicate a business, you choose what to copy: contact details, address, review links, logo, signature, bank account, UPI and payment QR (India), print settings, terms and conditions, and the parts and repair services.
These are never copied, because they must be new for each business:
- the business name and short code
- the GST registration, GST number, PAN and MSME number
- the document numbering series
- the email, SMS and WhatsApp signatures
If you copy the bank account, you’ll see “Payments will go to the same account”. Change it if the new business has its own.
Make a business the default
Section titled “Make a business the default”The default business is used when nobody picks one, and on your sign-in page, public pages and BytePhase subscription invoices.
- In the Businesses list, open the menu (⋮) on the business.
- Choose Make default and confirm.
Documents already issued keep the business they were created under.
Switch a business off
Section titled “Switch a business off”In the same menu:
- Deactivate: its documents stay readable, but nothing new can be created under it.
- Archive: hides it from every list.
- Activate: brings back a deactivated or archived business.
The default business can’t be deactivated or archived. Make another business the default first.
Good to know
Section titled “Good to know”- Switched-off businesses still count. A deactivated or archived business keeps its place in your plan’s limit, so you can bring it back later.
- You can’t delete a business, because its documents must stay on record.
- Staff and customers are shared. You don’t add them again for the new business.
- Stock belongs to each business. If you copy the parts, the new business gets the same parts list, but its stock starts at 0.
