The statuses
Section titled “The statuses”| You see | What it means | Example |
|---|---|---|
| Paid | The customer has paid the full amount. | A screen repair billed and paid in cash. |
| Partially paid | Some money is paid, some is still due, and the due date hasn’t passed. | The customer paid an advance when dropping off the phone. |
| Unpaid | Nothing is paid yet, and the due date hasn’t passed. | The repair is done but the customer hasn’t come in yet. |
| Overdue | Nothing is paid and the due date has passed. | A dealer’s bill that was due last week. |
| Partially paid · Overdue | Some money is paid, but the rest is late. | The dealer paid half and the due date has passed. |
| Overpaid | The customer paid more than the bill. | They paid an advance, then the repair turned out cheaper. |
| Nothing due | The bill is zero and nothing was paid. | A job with no services or parts priced yet. |
| Free | The job’s type is Free, so nothing is charged. | A warranty repair you don’t bill for. |
| Refund | This is a refund bill: money you gave back. | You returned part of the money for a repair. See Give money back for a repair. |
When does a bill become Overdue?
Section titled “When does a bill become Overdue?”A bill becomes overdue the day after its due date if money is still owed. BytePhase checks every bill’s due date early each morning, shop time. It also checks whenever a payment is added or changed.
If the customer pays everything, the bill changes to Paid straight away, even if it was overdue.
Good to know
Section titled “Good to know”- Overpaid usually comes from an advance payment that was bigger than the final bill. Give the difference back with a refund, or keep it for the customer’s next repair.
- Free comes only from the job type. To use it, set the job’s type to Free when you create or edit the job.
- After a refund, the original job’s paid amount goes down. So its status can change, for example from Paid to Partially paid.
- One payment can cover several bills. See Take one payment for several bills.
