Off by default outside India.

Use this to keep track of money going out of your shop, for example the electricity bill or a courier charge. Expenses show up in your reports next to what you earn.

  • Outside India, expenses start switched off. Turn on Expenses first. See Turn on a feature.
  • Don’t see Expenses? Ask your shop owner to let you view and add expenses (Expenses › View and Expenses › Add & edit).
  • Check the business switcher. The expense is saved for the business picked there.
  1. In the left menu, click Expenses. Then click + at the top of the list.

The Create expense page opens. You can also use the quick create menu at the top of the screen.

  2. Under Expense information, fill in the Expense name, for example “Electricity bill”, and the Expense date.

  3. Pick a Category. To add a new one, click + at the end of the box. The + only shows if you’re allowed to add expense categories.

  4. If you like, add an Expense description.

  5. Under Payment information, pick the Payment mode (for example cash) and type the Amount. Click Add more details to add a Transaction ID or Cheque number.

Categories group your expenses, for example “Rent”, “Utilities” or “Staff tea”.

  1. Go to Settings › Payment & tax › Expense category.
  2. Click +, type the Category name and click Save.

Changing categories needs Business Settings › Change settings. Adding one from the expense form needs Expense Categories › Create & edit.

  • Each business has its own expenses. You see the expenses of the business picked in the switcher. The categories are shared by all your businesses.
  • Change an expense later. Open it from the list and click Edit.
  • Delete an expense. You need Expenses › Delete.
  • Expenses aren’t linked to a customer or a job. For parts you buy for stock, add a purchase instead.
