Job statuses and stages
The 11 job statuses BytePhase starts with, the four stages behind them, and what happens when you change a job's status.
job status, status, stage, workflow, open jobs, closed, completed, delivered, cancelled, rejected, returned, inward, in process, awaiting approval, on hold, outsourced, repair ticket status, job progress, repair progress, add status, rename status, status colour, finished job, cancel jobEvery job has a status that tells your team how far along the repair is, such as In Process or Completed. Each status belongs to one of four fixed stages: Open, Closed, Rejected or Returned.
The stage decides how BytePhase treats the job. For example, a phone in On Hold is still Open, so it stays in your list of jobs to work on.
The statuses you start with
Section titled “The statuses you start with”Every new BytePhase account starts with these 11 statuses. Each one has a colour, which you see on its label across the app.
| Status | Stage |
|---|---|
| Inward | Open |
| In Process | Open |
| Awaiting Approval | Open |
| On Hold | Open |
| Outsourced | Open |
| Completed | Closed |
| Completed and Delivered | Closed |
| Cancelled | Rejected |
| Cancelled and Delivered | Rejected |
| Return - In Process | Returned |
| Return - Awaiting Approval | Returned |
A new job starts in Inward. To start new jobs in a different status, change Default job status under Settings › Jobs & repairs › Default job creation settings.
What each stage means
Section titled “What each stage means”| Stage | In plain words | What BytePhase does |
|---|---|---|
| Open | Work isn’t finished yet | Shows the job in Open jobs, in the dashboard’s “due today” counts and in each employee’s open work |
| Closed | Work is finished | Saves the time the job was finished and marks every service on it Completed. It can also send a review request (see below) |
| Rejected | The job was cancelled or the customer said no | Saves the finish time and marks services completed. The job no longer shows money due |
| Returned | The device came back, for example under warranty | Saves the finish time and marks services completed. The job doesn’t show in Open jobs |
These four stages are fixed. You can’t add a fifth one.
What happens when you change a status
Section titled “What happens when you change a status”You change a job’s status in the Update job status window. When you do:
- BytePhase keeps a record. The job’s history shows who changed it, when, and your Comment.
- The customer only hears about it if you choose. Mail, SMS, In-app and WhatsApp all start unticked. Tick the ones you want before you save. The message shows the old and new status, your comment and a link to the job.
- Moving to a Closed status asks you to confirm. The message names the status you chose, because every service on the job is marked completed too. If you check the device’s condition before repair, you can also open Add post-conditions here.
- The finish date updates. Moving to Closed, Rejected or Returned saves the finish date that turnaround reports use. Moving back to an Open status clears it.
Some status changes can happen on their own. On the Basic plan and above, go to Settings › Jobs & repairs › Job, quotation & payment automations. There you pick the status a job moves to when:
- you send the job out to another repairer (Job status after outsourcing)
- that outside work comes back (Job status when outsourced work returns)
- a quotation is created, approved or rejected (Job status after quotation sent, Job status after quotation approved, Job status after quotation rejected)
- you add a delivery (Job status after adding delivery; leave it blank to keep the status as it is)
- you add a part that’s out of stock (Job status when out-of-stock part added)
Can I change the statuses?
Section titled “Can I change the statuses?”Yes. All your businesses share the same list of statuses.
- Add a status: go to Settings › Jobs & repairs › Statuses and create one. Give it a Job status name, a Status stage and a Status color, then click Save status. You can also add one from the status list while you update a job.
- Rename it or change its colour: edit it in the same list.
- Move it to another stage: edit its Status stage. Jobs already in that status change straight away. Their finish date is saved or cleared to match the new stage.
- Delete a status: you can only delete one that no job uses. Otherwise you see “Can’t delete … it’s used in … jobs.” Move those jobs to another status first.
