Make a marketing message in WhatsApp Manager

Section titled “Make a marketing message in WhatsApp Manager”

Campaign messages aren’t written in BytePhase. You make them once in Meta, and they appear in BytePhase after WhatsApp approves them.

  1. In BytePhase, start a campaign (see below). On the Message step, click Open WhatsApp Manager.

  2. In WhatsApp Manager, open Message templates and click Create template.

  3. Choose Marketing, give it a name in small letters with underscores, and pick the language.

  4. Optional: add a picture at the top (Header › Image).

  5. Write the message. Where each person should see something different, like their name, add a variable. It shows as a blank you fill in BytePhase.

  6. Click Submit. WhatsApp usually decides within a few minutes to a day.

  7. Back in BytePhase, click Refresh from WhatsApp. Approved messages appear in the list.

You can also open WhatsApp Manager directly at business.facebook.com/wa/manage/message-templates.

  1. Go to Marketing. The WhatsApp tab opens (1) with your campaigns and how each did (3). Click + at the top right (2).

    Desktop
  2. Message: the steps show at the top (1). Type a Campaign name (2). The box (3) explains that messages are made in WhatsApp Manager. Click Refresh from WhatsApp (4) if a new one is missing, then pick a message (5). Click Next.

    Desktop
  3. Content: if the message has a picture, click Choose a picture, or pick one from Pictures you have used before (1).

Under Fill in the blanks, choose for each blank (2):

    • Type my own text — the same words for everyone, or
    • Their name, Their email, Their city or Their state — taken from each person’s record. Type what to use if they have none, for example “there”.

The Campaign preview (3) shows how it will look. Click Next.

    Desktop
  4. Who gets it: choose Customers, Employees or Leads (1). Use Narrow it down (2) to filter, the same way as your normal lists. You see how many people Will receive this campaign (3) and how many are left out, and why (4). Click Next.

    Desktop
  5. Review: check the Recipients, Cost and WhatsApp balance (1), and What is going out (2).

    Desktop

Further down you see the cost worked out per message and your balance after the campaign (1), What to expect (2), and Send yourself a test (3). Type your number and click Send test WhatsApp to see it on your phone. The test costs the same as any other message. If the balance isn’t enough, click Add balance. Click Next.

    Desktop
  6. When: choose Send now, or Send later and pick the date and time in your time zone (1). Click Send now or Schedule it (2).

    Desktop

BytePhase drops these people before sending, and the Who gets it step shows how many:

  • Asked you to stop — they replied STOP or used the unsubscribe link
  • Personal details erased
  • Not active
  • No mobile number
  • Same number as someone else — they get it once

Click a campaign in the list. You see what it actually cost under Spent (1), how many messages were sent, delivered, read and declined (2), and why any were declined (3).

Declined WhatsApp chose not to deliver it. Normal, and not charged
Failed Couldn’t be sent. Who it went to shows why

Further down, Who it went to lists each person and their status.

  • Limits: up to 5,000 people per campaign and 10,000 messages a day.
  • Declined is normal. WhatsApp allows about 2 marketing messages per person per day across all businesses, and doesn’t deliver marketing to US (+1) numbers. Declined messages are never charged.
  • Balance runs out: the campaign shows Paused, no balance. Add balance, then click Resume. The rest goes out.
  • STOP: anyone who replies STOP, UNSUBSCRIBE, CANCEL, OPT OUT, END, QUIT or LEAVE gets no more WhatsApp messages from BytePhase, including job and invoice updates.
  • Drafts are saved when you reach Review. Open a draft from the list to carry on.
  • To stop a scheduled or running campaign, open it and click Cancel campaign.
  • Campaigns use the Marketing access in Your team, not the WhatsApp access.
