Staff roles explained

What each staff role (Admin, Technician, Reception, Delivery, Account, Marketing, Sale) can do, plus the three customer login types.

roles, role, admin, technician, reception, receptionist, delivery boy, delivery person, account, accountant, marketing, sale, salesman, dealer, end user, corporate user, what can staff do, staff rights, user types, custom role, new role, rename role
Works on computer and phoneIncluded in every plan

Every login in BytePhase has one role. The role sets what the person can do when you first add them. Staff roles are for your team. Customer roles are for customers who sign in to see their own repairs.

The roles are fixed. You can’t add, rename or delete a role. To give one person more or less than their role allows, change their permissions instead. See Choose what a staff member can do. That needs the Standard plan or above.

Role What it’s for What they can do at first First screen in the phone app
Admin The shop owner or manager Everything, including settings, reports, deleting records, exports and staff permissions Dashboard
Technician Repairs The shared staff set (see below) Jobs
Reception Front desk The shared staff set, plus importing data Jobs
Delivery Pickups and drops The shared staff set My route
Account Billing and money The shared staff set, plus importing data and the customer ledger Invoices
Marketing Leads and campaigns The shared staff set Leads
Sale Counter sales The shared staff set Leads

Every staff role except Admin starts with the same set. They can:

  • see, add and edit jobs, and add services and parts to them
  • record payments
  • see and add customers, sales, quotations and job invoices, and approve or reject quotations
  • see and add parts, part suppliers and stock
  • see and add leads, follow-ups, tasks, pickups and drops, AMC and rentals
  • edit the master lists, such as device types, brands, statuses and job types
  • see their own commission

They can’t, until an admin allows it:

  • delete jobs, sales or payments, or export jobs to a file
  • open Settings or change any setting
  • see reports
  • set up integrations
  • change what other staff can do

Customers with a login see only their own records: their repairs, quotations, sales, AMC, rentals and pickups. They can approve or reject quotations, book pickups, raise AMC complaints and read their ledger. They can’t change anything else.

Role Use it for
End User A walk-in or regular customer
Dealer A dealer or shop that sends you repairs
Corporate User A company customer

All three customer roles see the same things.

  • Changing a role. An admin can use Change role in the menu (⋮) on the employee’s card. This also clears any custom permissions the person had.
  • You can’t change your own role. Ask another admin.
  • Custom permissions win. Once an admin customises someone’s permissions, those choices apply instead of the role’s starting set.
  • Only admins can see and change the Permissions tab on an employee.
