Send emails from your own email address

Sending from your own email address needs the Basic plan or above.

Until you set this up, customer emails go out from a shared BytePhase no-reply address. They still arrive, but your own address shows your shop’s name and is less likely to land in spam.

Before you start

• Have your email address and its password ready. Most providers, like Gmail, Yahoo, iCloud and Zoho, need an app password instead of your normal password. You make one in your email account’s security settings.
  • Gmail: open Manage your Google Account › Security. Turn on 2-Step Verification first. Then open App passwords, give it a name like BytePhase, and copy the 16-character password Google shows.
• To save, your shop owner must give you Business Settings › Change settings.

Steps

1. Go to Settings › Customers & messaging › Email settings.

2. Click Edit.

3. In Email provider, pick yours from the list, for example Google, Zoho Mail or Office365 / Live.com / Outlook / Hotmail. If yours isn’t listed, pick Other.

   “Host, port and encryption are filled in for your provider.” A setup guide for your provider appears beside the form.

4. Type the From name your customers should see, for example your shop’s name.

5. Type your email address in From address and in Email username.

6. Paste the App password.

7. Click Save.

8. Click Test email settings and send a test to yourself.

Done!

Invoices, job updates and other customer emails now come from your own address.

Good to know

• Your email signature is added to the bottom of every email.
• If the test fails, check the password first. Most providers refuse your normal password and need an app password.
• To go back to the shared address, click Delete. Emails then go out from the shared BytePhase no-reply address again.
• One email account is used for all your businesses.

Something not right?

• Check the email in Message logs to see whether it was sent or failed.
