A part is anything you keep on the shelf and sell or fit: a phone screen, a battery, a charger. Save it once in Inventory, and you can pick it on any job or sale. BytePhase then counts your stock up and down for you.

  • Have the part’s name, what you paid for it, and how many you have now.
  • Don’t see Inventory, or no + button? Ask your shop owner to let you view parts (Parts & Inventory — View parts) and add parts (Parts & Inventory — Add & edit parts).
  • If you have more than one business, check the business switcher. The part is saved in the business you’re working in.
  1. In the left menu, click Inventory.

  2. At the top right of the list, click + (Add part).

    The Create part page opens.

  3. Under Basic information, type the Part name. If you like, pick a Category, Sub-category and Storage location, and type the Warranty.

  4. Under Stock information, type the Opening stock: how many you have on the shelf right now. Pick a Unit type and add your SKU if you use one.

  5. Leave Track stock on if you want BytePhase to count this part. Leave Low stock alert on and type the Low stock units to be warned when it runs low.

  6. Under Price information, type the Purchase price and the Selling price. If your business is tax registered, pick the Tax too.

  7. At the top right, click Create.

You go back to Inventory. The new part shows its stock, for example In stock.

  • Barcode. If you leave Barcode number empty, BytePhase makes one for you when you save. You can print it on a label: see Print part barcode labels.
  • Stock badges on the list. In stock, Low stock (at or below the low stock units) or Out of stock (zero or less). A part with Track stock off shows Stock not tracked.
  • Changing the stock count later? Use Adjust stock, so the change is recorded. See Stock history and adjusting stock.
  • You can’t delete a part that’s already used. You see “Can’t delete … it’s used in … jobs, invoices or quotations.”
  • Jobs. Add parts on a job’s Services and parts tab. See Add services and parts to a job.
  • Sales. Pick parts when you make a sale at the counter.
  • Purchases. On the Basic plan and above, a purchase from a supplier adds stock. See Record a purchase.

Every time stock moves, it shows on the part’s Stock history tab.

  • Each business has its own parts and stock. A part you add in one business doesn’t show in the other. Two businesses can each have a part with the same name.
  • On a job or sale, you can only pick parts of that document’s business.
  • Old documents keep their parts. A job or sale that was saved with a part keeps showing that part, even if you look at it from another business.
  • Categories and suppliers are shared. All your businesses use the same ones. See Part categories.
