Use this as a repair moves along, for example from In Process to Completed. You can tell the customer at the same time.

  • Don’t see Update status? Ask your shop owner to let you create and edit jobs (Jobs — Create & edit).
  • The status you want must be in your status list. You can also add a new one from the status list in the window. See Job statuses and stages.
  1. Go to Jobs and click the job.

  2. Click Job actions, then click Update status.

The Update job status window opens.

  3. Choose the new Status.

  4. If you like, type a Comment. On the Basic plan and above, you can pick a saved Quick reply instead of typing.

  5. Under Send alert, tick how to tell the customer: Mail, SMS, In-app or WhatsApp. Nothing is ticked when the window opens.

Next to Send alert you see how many you ticked, for example “2 selected”. The Edit defaults link opens your shop’s message settings. It doesn’t pre-tick anything here.

  6. Click Save.

Some statuses close the job, such as Completed (a Closed-stage status). For these, a message names the status you chose and says all services on the job will be marked Completed too. Confirm it.

You see “Job status updated”. The status label at the top of the job changes.

  • Quick change with no message. Click the status label at the top of the job, or the status in the jobs list, or on the job card on a phone. Pick a status. It saves at once and doesn’t tell the customer. A Closed-stage status picked this way still opens the full window.
  • WhatsApp opens with the status message already typed. You press send.
  • SMS in India uses your SMS credits. Outside India, you need your own SMS provider. If a message type can’t be used, it’s greyed out with a warning icon. Tap the icon to see why.
  • Automatic changes. Your shop can change the status on its own. For example, when a quotation is approved or rejected, a delivery is added, the job is sent to an outside repairer, or an out-of-stock part is added. Turn these on in Settings › Jobs & repairs › Job, quotation & payment automations (Basic plan and above). Automatic changes don’t send the customer a status message.
  • Closed, Returned and Rejected stages mark every service on the job as Completed. They also save the date the job was finished.
  • Condition on the way out. If you noted the device’s condition when it came in, an Add post-conditions section appears when you choose a Closed-stage status. Use it to note how the device looks as it leaves.
  • Review link. Your shop may have set a review link and Send review link after job (days). Then, when a job reaches a Closed-stage status, the customer gets the review link by email after that many days.

If you choose the status the job already has, you see an error and nothing is saved.

  • Saving fails and says you’re not allowed: your login needs Jobs — Create & edit. Ask your shop owner.
  • The customer didn’t get the update: see SMS isn’t being delivered.
