Use this when a new repair comes in and someone needs to work on it, or when you want to move a job to a different technician.

  • Open the job in the right business. If you have more than one business, pick it in the business switcher first.
  • Don’t see Assigned to? Ask your shop owner to let you create and edit jobs (Jobs — Create & edit).
  • You can only give a job to a staff member. You can’t give it to a customer.
  1. Go to Jobs and click the job.

  2. At the top right, click Job actions, then click Assigned to.

    The Assignee update window opens.

    Desktop
  3. Under Assignee name, choose the staff member. To take the job yourself, click Assign to me.

  4. If you like, change the Status at the same time. You can also type a Comment for the technician.

  5. Under Notify staff, choose how to tell the technician: Mail, SMS, In-app or WhatsApp. Your usual choices are already ticked. Untick any you don’t want.

  6. Click Save.

You see “Assignee updated”. The new name shows as Current assignee on the Overview tab.

Desktop
  • Change it from the list. In the jobs list, you can change the technician right in the row (computer) or on the job card (phone). The message goes out the ways ticked for job assignment in Settings › Customers & messaging › Default notification settings.
  • The ticked message types in the Assignee update window also come from Default notification settings. Your shop owner can change them with the Edit defaults link in the window.
  • WhatsApp opens with the message already typed. You press send yourself.
  • Every change is saved in the job history, with who made it and the comment. If you pick the person who already has the job, you see an error and nothing changes.

Each service on a job can have its own technician. On the Services and parts tab, you can choose a technician for each service line. See Add services and parts to a job.

Your shop owner can limit a staff member to their own work. Open Employees and open the person. Go to the Permissions tab. Set Job visibility to Only jobs assigned to this employee. That person then:

  • sees only jobs given to them, or jobs where they have at least one service line
  • can’t open or edit other jobs, even from a direct link
  • sees only their own jobs in the dashboard counts

This is off for everyone at first. Admins always see all jobs.
